Uh, and today's topic as you can see on the screen is AI in project management, how to boost productivity and deliver more. And we all know that AI is everywhere, but beyond the headlines, what does it actually mean for project managers? Can it help you save time, make better decisions, manage risks effectively, and ultimately deliver projects more successfully? These are all the aspects that we are going to be covering in today's webinar and we have a wonderful speaker join us today. I'll introduce her shortly in the coming slides. So, without wasting any more of our time, I'll quickly take you through a few ground rules before we begin just to ensure that we have a very smooth webinar. And finally, we will wrap up with a roadmap to help you become an AI-powered project manager, along with time for your questions and the next steps. And uh now comes the part that I have been waiting for, and I'm sure a lot of you would have also been waiting to know about it, our speaker. So, it's my absolute pleasure to introduce Louisa Vergara, a highly accomplished project management and Agile instructor with more than 25 years of experience helping organizations and professionals deliver successful projects across predictive, hybrid, and also Agile environments. And what makes Louisa particularly exciting to learn from is that she doesn't just teach project management, she helps professionals understand how to apply it in the real world. And I think that is what is most important in today's times. Uh her expertise, if you were to think about, spans from PMP, Agile, Scrum, leadership, and now the practical use of AI to improve planning, communication, reporting, and also team productivity. And one another important point to highlight here is that she has mentored countless professionals on the certification and career journeys, helping them bridge the gap between theory and execution. And she's one of our trainers at Simplilearn as well. Uh so, today you're not just learning about AI in project management, you're learning from someone who has spent decades helping project managers adapt, solve, and stay ahead of change. I'm I'm sure everyone's waiting to hear your introduction. >> Well, thank you so much, Swetha, for your uh very generous introduction. Uh as you mentioned, I am part of the instructor team at Simplilearn, have worked with hundreds of students at this point, and helped them guide their journey, a lot of them through the PMP certification, but also learning about Agile, learning about using AI uh for their project management work, and very excited to be in this webinar today sharing a little bit of what I know and my experience with uh the webinar participants. >> Thank you so much, Louisa. I'm sure everyone's really excited, so I'll just take them up to the uh first uh segment. And before we begin, I'd like to begin today's session with a statement that I believe every project manager should think about carefully, that the project managers who thrive in the next 5 years will not be the ones who resist AI, they will be the ones who deploy it most effectively. So, I hope uh take a moment to let that sink in, and a few years ago uh project managers who mastered Agile gained a significant advantage, and today we're witnessing a similar shift with AI. But the only good news is that AI is not here to replace project managers, it's here to amplify the capabilities of great project managers. And with that, Louisa, I have to ask you my very first question, how would you describe the impact of AI uh in this field of project management, and how will it probably change opportunities coming ahead? We would love to hear your perspective on that. >> Sure. Obviously, AI is already reshaping our industry, the project management industry. Pretty much every industry has been at this point disrupted by AI. In project management, the way I see it is that AI is a tool. We've had many tools along the way, right? Before project managers were doing calculations on a piece of paper or perhaps using a calculator. Then we had Excel or Microsoft Project instead of using posted notes, right? So, along the way, we've had tools that help us. AI is the same. It's a tool. However, the impact, the potential that it has, it's unprecedented. We have not had a similar tool that help us in such a significant way in our project management profession. So, even though we want to say, "Well, this is just a tool like other tools we've had at hand." It is also unprecedented in the way that it can shorten the duration of a lot of our routine tasks that we perform, in the way that it can analyze and it can help digest loads of information that we've never had before. So, I think it is important to kind of understand where project managers sit with this AI. The Project Management Institute PMI has been conducting research very frequently because changes are happening so quick that perhaps a survey from 2 years ago is now outdated, right? So, the most recent research is saying that 20% of project managers are already using extensive or have strong practical AI skills today. And I want to put a pin on this thread that we're going to come back to this this data because it is very important. 20% of project managers are already using AI extensively or have practical AI skills. Two in five project professionals are using generative AI in over half of their project work. And this has doubled in the last couple of years, right? So, perhaps 2 years ago people were using it more timidly to answer a question here or there, but now two out of five project managers are using it for more than half of their work. And then in terms of our PMOs, our project management offices, they are projected to use AI in decision-making by 2026 as of as much as 80%. So, 80% of those PMOs, those project management offices, are going to be relying on the analysis, that that quick uh support, that that AI can generate in making those decisions that are critical for organizations. So, AI is here. It is only going to grow, and it is here to stay. >> Thank you for sharing that perspective and also talking to us about how quickly AI is reshaping this profession right now. Uh Louisa, on that note, could you also walk us through the difference between a project manager who works with AI, one who fears AI, and one who's actively leading with AI? What separates these three mindsets, and why does it matter so much for career growth and project success? >> Yes, that's that's very important, Shweta. And it is interesting because I even encountered these kind of three profiles even just during our PMP bootcamps, for example, right? There are people who are like AI is not my thing, and I don't want to use it, and I I am used to doing my things without AI, right? And so, you know, they may be managing projects successfully, but more and more they're going to be spending more of their time on routine tasks that other project managers are going to be performing in minutes, while there it's taking perhaps hours, right? So, with time, this productivity gap is going to become a competitive gap. Okay? So, your knowledge of project management may be essentially the same, but you're not producing at the same rate, and we know that time is money. So, the part The project manager who ignores AI, it is going to start losing relevance, especially at leadership conversations. Why? Because it's taking them more time to process the same amount of information that other project managers are processing in minutes, right? And then we have the the the project managers who are fearful of AI. And I get a lot of these students when we're teaching them how to use AI for their project work that they have to submit during coursework, and they're like, "This feels like cheating. I don't know. I'm scared of using AI because it makes it so easy." And it it it you shouldn't fear AI. Again, it's just a tool. It's like if you would tell me, "I'm afraid to use a hammer to work with this nail. I'm just going to use a rock." Well, I mean, maybe you eventually will get to the same result, but if you have the appropriate tool, it's probably going to be more effective, right? So, if you are fearful of AI, you are also going to be missing out on the opportunity to be more efficient, to automate perhaps routine work that can take seconds, while you spend your time in doing analysis, judgment, in building relationships, right? So, you are going to be staying behind, and you're going to become uh perhaps more uh reactive, um reacting to these new these new tools as opposed to being the driver, the person who's leading your organization into the adoption of AI. So then we have the project manager who is leading with AI. And again, this project manager is going to have more time for the tasks that really matter. They are going to have more time to do analysis, to use their expert judgment, to be building relationship, to be empowering their teams, to use emotional intelligence. These are the skills that are going to make a difference. So you are using AI to have data evidence, data back recommendations for your decisions, while you are utilizing that extra time to compare and contrast, to use your judgment, to use your expertise, right? And they are going to be the ones that are going to be taking leadership positions. Because again, they're going to have the opportunity to exercise that expertise that is going to set them apart. So they are going to be advancing faster because they're going to have a differentiated professional profile. And I I would dare to say, Shredder, that if you are applying for any project management role, chances are they're going to look for somebody who is already comfortable, who is already familiar using AI. Because otherwise, you are just not going to bring the efficiency and the productivity that companies are looking for right now. >> Absolutely. Those were some great points, Luisa, and uh something all of us can relate to. Um and uh we have seen how AI can support project managers. You just spoke about it. So could you also walk us through how AI adds value at each stage of project life cycle? Perhaps with some real-life examples like you did here. >> Of course. So if you see in front of us, we have our traditional five, you know, group areas of work. We don't call them really stages because a lot of times they don't happen in a sequential uh manner, but these are the groups of tasks that we normally identify in project management. And as you can see, what is interesting to see here is that AI is not replacing any of them. AI is going to augment the capacity that the project manager has to complete each of this work in a successful manner. So, initiation. This is where the project is being conceived. And so, AI is going to help us draft a charter, perhaps do a business case that is going to be relevant. We can provide some basic notes, and we're going to see an example of this today. Um just a basic information, and AI can help us do a first draft of a of a project charter, right? Obviously, and we're going to repeat this throughout the session. This is my favorite concept when it comes to AI. Human in the loop. You are always going to be the last word. You are going to be vetting this information. You are going to push back your AI and say, "Hey, I don't think this is correct." Or maybe you forget you're you're forgetting this information, or I want to add this additional information, and you're going to tailor. This is what we're going to see in our demo. So, you're always going to be the last word. But the AI is going to give you a draft that is going to be very close to what you're looking for in seconds as opposed to starting with a blank page. Planning, same thing. We can provide perhaps a project charter or a business case, or we can just provide a very raw information, and your AI of choice is going to be able to generate a a WBS. It's going to help you with a schedule. It can help you think about resources. It can help you uh create a budget, for example. So, it is going to save us so much time creating a WBS, a work breakdown structure for those that may not be familiar. A WBS a graphical representation of all the project work. 100% of the project work needs to be on that WBS. So, you can't forget anything. AI can help you provide a first draft of that WBS based on all the information that it already has. And if you have already loaded some information, it's going to be even more accurate and it's going to help you not forget about any important activities or tasks for your project. In execution, as we are managing a project, we are busy with the day-to-day issues that come up. That's our role, right? We're solving issues. And so, execution-wise, AI can help us summarize updates. It can help us flag blockers. It can identify trends easier and earlier than most uh project managers would be able to do without the support. So, we can include perhaps some status reports, some statistics of, you know, output, for example, and AI is going to tell us, "Hey, be careful. I've noticed a trend here you may have not, uh you know, noticed. So, make sure that you're paying attention to this or that." So, that is going to be very helpful in execution and monitoring, right? Because those things are happening at the same time. We can also help us summarize status reports, right? Because we are always communicating as project managers. We are sending reports to our management, to our stakeholders, to our team members, to our partners, to the functional departments we work with. So, AI can help us very quickly produce those reports tailored, customized for our specific audience. If we prompt AI correctly and we say, "I need two reports. One is for senior management, please focus on the financial aspects. And I need another one for human resources, please focus on the utilization of my staff." AI is going to be able to from the same amount of information generate two customized reports for your different audiences. And then last but not least, in closing, for example, it can help us build very useful lessons learned in final reports. In a lot of organizations, I think people will identify with this, lessons learned are these documents that we put at the end put together at the end maybe a little bit rushed just to leave a document and they go into an archive into that nobody uses. So, AI can help us put together really meaningful lessons learned documents that are going to prompt action, that are going to help organizations do projects better next time. You can feed a lot of information to the AI tool and the AI tool is going to throw back at you, here are the most important critical things that you've learned during this project and here's how you can actually implement action so that you correct these mistakes that happened during your project. So, this is just a a sample of things that we can do with AI. >> Thank you for clearly explaining how AI adds value. It was wonderful to know how AI can potentially help project managers. At the same time, a common question that we come across is if AI can do all of these tasks, where does the role of a project manager become important? So, can you please help us understand what AI can handle versus what only a project manager could possibly handle? >> Absolutely and this is where, you know, if you are in the camp of being fearful of AI because you feel like AI is going to replace you, well, I have good news for you. So far, AI is not going to replace us, right? Project managers are still managing projects that are made by humans, that are for humans and where human judgement and and emotions are still going to be important. So, what can AI take off of your plate? As we said, first drafts, right? You can get a first draft of a charter, of a plan, of a report, of a timeline, of a schedule, of a WBS. And we have a question in the in the chat, does Agile approach have WBS? No, in Agile we use backlogs, but it's the same thing. You can actually also produce a a product backlog with AI, right? It's just a little bit different because the WBS is 100% of the work. In Agile, our backlog can change. But it is the same concept. It is the list of the work that you're going to accomplish. And you can perfectly ask AI, can you produce a draft of the first product backlog for this new application that I'm developing, right? Anything that is repetitive formatting, repetitive summarizing, um minutes, for example, right? That is something that AI can take off of your plate. A lot of us project managers started taking notes and drafting minutes and sharing those minutes with other people. Right now, AI can take that off of your plate. Calculations, right? You can You can use AI for um estimating durations of activities, for calculating risk scores. As we know, we take probability times impact and that gives us the risk score so that we can prioritize um the the different uh risks that we may have. Roll-ups, when you have 300 tasks of different durations, a roll-up is going to help you um add up those durations so that you know how long your project is going to take. Or the same with budget, for example, right? For those project managers that use uh earned value management, that is a little bit of an advanced concept, but AI is going to not just do the calculation because that can be done with a calculator or an Excel or with software that is for that, but it can give you a more in-depth analysis of how your project is doing. What is the health of your project, right? As we mentioned, spotting patterns that we may not have noticed before, right? But then, what is it up to you? What are the things that only you can own? Again, as I mentioned, human in the loop is the most important concept here because you are the project manager. Ultimately, you are accountable. You are not going to show up at status meeting and say, "Well, AI didn't alert me about this risk." That That's still up to you. So, you are going to be responsible for maintaining and enhancing productive relationships with your stakeholders. You are the person who are going to meet face-to-face, pick up that phone, use your emotional intelligence, your tone, your communication skills to build trust with those stakeholders. You are going to be making those hard decisions. We manage projects under a lot of ambiguity, under a lot of volatility. Sometimes, you have to perhaps deliver um difficult news to your team members. It is your emotional intelligence and your leadership who is going to guide your team through difficult situations. It is not ChatGPT, it's not Gemini who's going to do that. You are going to be there to negotiate, to facilitate, to build rapport, right? You are going to make decisions about when to escalate. This is a really critical um topic, Shweta, and one that I've seen the PMI PMP increasingly put in their scenarios because they want to make sure that a successful project manager is not just kicking the can and saying, "Well, this is human resources fault." Or, "This is the quality team's fault." You own the project, but you have to know when to escalate. When do you go above your threshold and reach out to your senior management, to your VP, to your CFO, right? That is your call. That is your judgment. AI can help you walk through an analysis of, for example, a risk situation. But in the end, you're making that decision. Most importantly, Shweta, we have to talk about ethics. Because, again, AI is a tool, and just like with every tool, just like when internet was, you know, first around, we have to make ethical decisions about how we use it. So, we have to be transparent. We have to be careful with the information that we upload into AI. We have to make a good contextual and organizational judgment that goes beyond what AI can do for you. So, this ethical use is what we, as project managers, are called to do with the use of AI. >> Thank you so much for that explanation, Louisa. Now, we really do understand the importance of a project manager despite AI being there in the scenarios. So, before we move on, we have a quick poll for all of you. Okay, so planning documents, resume and LinkedIn. I think it's a mix of all. >> Very uh very interesting mix. >> Yeah. That's great to know. Thank you all for sharing your responses. So, now that we have a live demo segment to get into, I'm not going to wait for all of your responses, but thank you all for participating. So, Louisa, can you walk our audience through what we will be doing in today's live demo and what they can expect? >> Sure, absolutely. So, we are going to be doing three very short demos. For today, I have used ChatGPT. It's a very simple intuitive tool. It seems to be very popular. A lot of people are using ChatGPT for their AI of choice, but this is going to be very similar if you're using Claude or if you're using Gemini or whatever your tool is. We're we're going to be doing three simple scenarios that are related to those choices that you just showed. The first one is using AI for career growth. So, I am a project manager. I am looking for a job. How do I optimize my resume for perhaps a LinkedIn job posting that I just saw. We're then going to do more a project delivery example where we're going to create project charter from a brief, right? And I'm actually going to get some input from the audience to do this demo. Let's see if that works well. And then last but not least, the kind of highest level of use for AI is if you are already an experienced project manager. Perhaps you're leading a PMO. Let's say that you're leading a PMO and you want to use AI for strategic intelligence. So, we're going to look at how when we have a list of risks, assumptions, issues, dependencies, how AI can help us kind of do an analysis so that we can support a real world decision. So, those are the three scenarios we're going to walk through today. >> Thank you, Louisa. So, I'll quickly stop sharing my screen and you can present. >> Thank you. And as I mentioned today, I am going to use ChatGPT. I I'm going to use the free version. It may prompt us a couple of times, you know, to sign in or to create an account because, you know, that is obviously their business, but I'm trying to do it with the free version just so that if you don't have a paid account, this also works for you. I recommend as project managers to invest perhaps in at least one paid, one premium account of of some AI tool. It can be whichever your choice is, but it's such an important tool that I think the monthly payment is is is going to return that investment, right? So, but again, I'm going to try to use the free version. We're going to have some limitations, we'll work around those. So, the first thing we're going to do is that we are going to utilize it to optimize a resume for a specific project post, job opening. So, I have here a a demo resume, right? It's a very simple resume. It's a project manager, has some certifications, it has some experience. It has a basic professional summary, it has some information, right? So, actually this morning I went into LinkedIn and I found an interesting job for a project manager, right? So, I have an actual project manager here opening. And so, what I want to do is I want to ask AI to help me apply for this particular job. So, what I'm going to do is I am going to ask the the tool. Let me go here to ChatGPT. So, I'm going to first going to say, "What is your role?" So, you are an experienced human resources recruiter. Uh recruiting for the job opening below. So, I'm actually going to go ahead and copy-paste the description of the job opening which I have here, right? And I am I'm to make sure that I include all the qualifications, the information about Okay, I think this is probably good enough. And so I'm going to feed this into the tool so that it knows exactly what kind of job opening I am applying. So then I'm going to say um can you help me optimize my professional summary and identify the top five changes I need to do to my resume to be more efficient for ATS. ATS is applicant tracking systems. That is what most companies are using today to recruit. So what I'm doing here is first of all, I am providing a role to the AI. I'm saying you are a recruiter. So you are going to look at my uh at my resume with the eyes of a recruiter, right? Because I am using a free version, I am not able to upload a document, but I can overcome this by just copying and pasting the text. It works all the same. If you have a paid subscription, you are able to upload the file. So I am going to go ahead and paste my resume. I am going to provide the data that the AI needs and I am going to specify what is the output. I don't want it to complete re-redo my resume. And why do I do this? I find personally that working chunk by chunk is more effective than asking AI to completely redo my resume. I feel like it avoids mistakes. So I am just going to say, give me the professional summary, a revised professional summary, and tell me what are the five things that I need to do to make my my resume better. So okay. So it's telling me uh looking at this from both an ATS optimization and a recruiter, your resume is already solid, but it's too generic. So, it's telling me what are my biggest gaps, right? How does my resume compare to the job opening? It's telling me exactly where I need to strengthen my my my resume. So, I am be given a new professional summary that I can copy-paste. It's explaining me why. And I really like prompts that are going to explain that are going to ask, "Don't just fix it for me. Tell me what are you fixing and why?" Because then this includes learning, right? So, it is telling me what are my top five resumes. We have to add a technical project management skills section, and it is telling me what to consider. One thing that I can also include in my prompt is to say, "Don't fabricate information. If you have an information gap, highlight it to me so that I can provide more information." So, after I see this, this is where that human in the loop, this dance, or this pushback that you're going to have with AI. So, you're going to say, you know, "I actually have experience in this and this, or you know, please Let's see. I am going to perhaps to copy-paste a previous experience that was not in my resume so that I can then start this conversation with AI so that with more tailor information, it is going to give me a better output. So, this is what I would recommend in terms of updating a resume. You are going to then read this information, bring more information, perhaps more experience that was not there so that you can help craft. I would not ask the tool to completely redo your resume for the reasons that I've already explained. Okay, let's move on to another um scenario, okay? Let's Let me hear in the chat some ideas of a basic project that we can use for this example. So, put in the put in the comments, I'll select one. A simple project, maybe one that you're working on. So, describe your projects to me and we will use that to create a quick project charter. So, I'll give you a few minutes to do that cuz I think it'll be interesting if we can get some ideas. Just give me a simple idea of a project that you are working on or some fictional project. It doesn't even have to be true. So, what I'm going to start doing while I while I read your questions, okay? I'm going to say, you are an experienced project manager and are going to produce a draft project charter for a Now, let me see. Uh to the a project remediation, let me see. Uh ba ba ba supply chain cyber transformation Okay, acquire a new medical center. Let's do this one. That's an interesting one. A project charter for a project to acquire a new medical center. So, now I've given it a basic information. Now, I'm going to need to at least give it some constraints, right? So, the budget for the acquisition process is $2 million. And the timeline is 6 months. Okay? Involve legal department IT and HR department. Um, and now I want to uh specify what the output is going to be. For now, I'm just going to ask for a project charter. So, make the project charter two page maximum. I'm going to say include, uh, basic milestones. And I'm going to say, and I think this is important, is do not fabricate information if you do not have it. Instead, highlight it as an assumption, so that I then I can see what is the AI assuming to be true. I don't want it to just create a project charter with assumptions that I don't know what they are. I want to know what the AI tool is assuming to be true. Uh, let's see. So, we have the role, we have the basic information, we have some constraints, we are giving it some direction about who needs to be involved, and we are telling it about what the output that we want. So, we're saying, "I want a project charter, it needs to include milestones, and it needs to have assumptions." So, now let's see what this gives us. Okay, so imagine it's Monday morning, your boss just called you and say, "Hey, we are going to be naming you a project manager for this new acquisition project. Can you please draft a project charter, okay?" So, instead of a blank page and a full cup of coffee, you have this to start with, okay? So, it has the name, it has the room for the sponsor, it already has the information that you've included, it has the purpose, it has a business need, it's providing you with the project objectives. Let's just read a couple. Complete acquisition due diligence activities within the approved 6-month timeline. I love this because it is prioritizing compliance, which is always important, right? Maintain acquisition process expenditures within the approved 2 million budget. So, we gave it a constraint and the AI is working around that constraint. Minimize business disruption during ownership transition. This is critical. This is information we didn't give AI. But the AI tool knows that in any process like this, any project that is doing an acquisition, a merger, disruption is a critical risk, right? So, here's another thing that I love. In scope and out of scope. Guys, when we're talking about scope, we always need to say what is in scope, but also what is out of scope because most people assume things that may be incorrect. It is telling me who my key stakeholders are. It is feeding off of that information I gave, right? The IT department, the human resources department, but it's also providing other stakeholders that I may have not thought about, right? What are my major deliverables? The project management plan, the due diligence report, regulatory compliance, executive decision package. Now, it is assuming, right? The target medical center has been identified. Let's say that the target medical center has not been identified. This is where that human in the loop is so important. So, I'm going to say, "Actually, the target medical center has not been identified. Please update." Okay? So, I am now using my experience, my judgment, the information that AI doesn't have in order to have a project charter that is customized for my situation, okay? Good catch. If the target medical center has not yet been identified, then the charter should be positioned as a medical center acquisition identification, right? So, now there's a revised project purpose. It There is a revised business need. It has a revised scope because now it is going to have to do market research and identification of potential medical centers. So, you see how as you start injecting that information that only you know, the AI is going to throw back at you more useful outputs, right? So, this is where you have to be the last person that gives [clears throat] direction to the AI tool. And so, this is This is how this goes. This is a conversation, right? You are going to revise those assumptions. You are going to look at those milestones. You are going to look at the success criteria, and then based on that, then you can have a good draft project charter that you can work on. Now, you have a basic milestone. You have a basic calendar. You have Perhaps you can also tell him, "Please provide a a draft rough order of magnitude budget, right? Provide ROM, a rough order of magnitude budget, right? This is a very high-level budget that we normally include in a project charter because at this point we haven't done the planning, the specific planning." So, there you go. It is going to provide us a budget. Is this going to be perfect? No, absolutely not. We are going to have to go in and start inputting the information that we know from our company, from our experience. But this is way nicer than a blank Excel sheet, right? So, that is going to be the way that you interact with with the AI tool. Let's move to our last demo cuz we're we are short on time. And this is where we are going to be using AI for more strategic analysis. So, let's say that you are an experienced uh PMO director preparing for uh steering committee meeting. Um based on the following RAID. And a RAID is a tool that we use to document risks, assumptions, dependencies, and issues. So, I have a RAID already here. This is something that the PMO puts together for the project. Um again, if you have a paid subscription, you can upload the file. If you have a lot of information that is ideal, I am going to work around that limitation by just capturing a screenshot so that I can just put a picture of this. It is going to work all the same. Right? So, I am going to upload that information. And I'm going to Oops, I clicked the wrong thing. Guys. And I'm going to ask to um I'm going to tell the output. What do I need? Uh provide a high-level summary and identify the top two items that need to be addressed by the committee. Okay? So, we have it in this case, we have a simple RAID. It doesn't have a lot of information just for the purposes of a demo. But you could have an Excel spreadsheet with lots of information, right? And so, it is going to give me an executive overview. The project remains generally on track. So, it I don't even have to look at this to know that it is on track. There are several high-priority risks, right? So, it is going to tell me what is the current status snapshot. So, just a very quick summary for my executive summary. What are my positive indicators? But now it is telling me, what are the top two things? What are the top two risks? So, the first one is vendor API delay, right? And then the second one is the SME availability during UAT. Okay. It says additional items, data quality issues, cybersecurity. And then I remember, actually the board of directors said on the last meeting that cybersecurity is a top organizational concern. So, maybe I should put that into the tool. Uh actually our directors emphasized the need for better cybersecurity because of a recent incident in a similar project. Revise your response. Right? So, this is something AI doesn't know. This is where my expertise is important. I I'm the only person that can tell AI this information. The AI tool has not been sitting in on my board of directors meetings. So, it says, "Okay, well, given the director's recent focus on cybersecurity, I would absolutely change the steering committee narrative." So, now it is going to revise that language for me, and it is probably going to revise the cybersecurity dependency as my highest priority. But again, if I don't provide this input, AI is not going to know this. So, this is how you use this tool. Yes, it can do this very quickly for you, but you're still ultimately the owner of information that only you know. One of PMI's biggest principles for project management today is tailoring. The only way that you can tailor the outputs of AI is if you provide that customization, if you provide that extra information. So, this is my invitation for you, especially for those of you that perhaps said that were a little bit fearful of using AI, is just to start this conversation. And another important thing is that the more you talk with your AI tool of choice, the more that it is going to know how you like your outputs. What is the context of your work? Do you work in a organization that is very risk-tolerant or do you work in an organization that is very risk-averse? The more information that you provide, the smarter the responses are going to get. So, engage in that conversation. Start seeing how this is going to make your work faster and more efficient so that you can spend more time on those critical tasks that AI cannot do for you. Shweta, back to you. >> Uh thank you so much, Louisa. That was a wonderful demo. So, I'll quickly share my screen and get back to the doc. deck. >> Uh yes, I think I can share. Somebody's asking if I can share the CV doc. And actually, the CV doc I created it with AI. I say, "AI, can you please create a mock CV for this demo?" Uh ChatGPT and I are are really good friends. Uh my ChatGPT tool knows me very well. It knows that I'm an instructor. It understands my style, so it focuses my responses on making things very, very absorbable and whatnot. So, yes, I can share the CV doc. Uh Shweta, go ahead. >> Yes, um uh Louisa, before we move ahead, I also saw a few questions about uh prompts and how you can uh prompt effectively. So, could you share some quick tips with our audience on how they can prompt for their job role. >> Absolutely, Shweta. And it's it is interesting because the prompting science, if we can call it that, or the art of prompting better, has evolved a little bit. Before there were whole courses about prompting, right? And as the AI tools have evolved, they have become smarter, right? So, but I do think that there are still some tips and tricks that make it work better. You always need to give the AI a role and a context. So, you saw me when I would start my prompt with saying, um, I you are an experienced PMO director, or you are a student, or you are a PM a project manager, right? Always focus the AI tool on what kind of language, right? And what is the context? I am applying for a job. I am facing a delicate situation. I am going to be, uh, leading this project. I work in a very conservative or risk-averse organization. I can provide this context. Then we are going to provide that project data. A- again, if you have a paid version, you can upload multiple files. You can create a project space where you can upload the files, and then all of the prompts or all of the the questions that you ask for that specific project, they are going to refer back to those documents. So, that is very useful. But if not, if you have a free version, you can just do what I did. Just do a screenshot or copy-paste the text and just put it in the prompt. You want to specify what is the desired output. So, you have to tell, "Give me specifically a project charter. It cannot be more than two pages." Or you can say, "Give me a timeline ready to download in Excel." Right? Because otherwise, it's going to give you the timeline as text, and you're going to spend a lot of time trying to copy-paste. You can just say, "Give me an Excel ready to download." So, you are going to specify how you want the information. You force the prioritization or force a constraint. So you notice that I said, "I only have 2 million budgets a $2 million budget. Work with this." Or I only have 6 months, right? So you're going to have to work around this timeline. Or I could say, um, "My senior management is very focused on, um, human resources. Please focus the report on that aspect of the project." Right? So those constraints or those prioritizations you are going to provide to the AI tool. And last but not least, human in the loop. Apply the human judgment. Don't take anything that the AI gives you for granted. AI still makes mistakes. It still hallucinates. It still still makes up information. You can always say, "Do not fabricate information. Do not try to fill in the gaps for me just because you want to give me a finished product. If there are information gaps, ask me. Highlight those for me." Right? So you are still the you're still in charge. You are still the captain of this ship. It's not AI. You are going to ultimately be responsible for this information. You're going to review it. You're going to customize it. You're going to push back. A lot of times I I fight with my AI and I said, "You missed this. This isn't correct. Why are you giving me this information?" [laughter] And it says, "Yes, you're right. Good catch." Well, yes, good catch. I'm an I'm an in I'm a smart human. So you need to treat AI like it is the tool and you are the smart human. Okay? So that is how we're going to interact with with AI tool. >> Thank you so much for sharing such wonderful tips on how they can craft the perfect prompt. And also for showing us that, um, how AI fits into project management and how it can also provide value throughout the entire life cycle. So it was great to have the demo and to understand this from you. But right now I think a lot of them would be thinking what is next for me. If someone actually wants to future-proof their career and become an AI-powered project manager, what roadmap would you recommend they follow? >> I think, um, Shweta, in today's very competitive landmark, uh, um, you know, we have to have a It is better if we have something that makes us stand out as knowing AI. So, the first invitation is just to explore, right? So, look at your current job. What are the things that take most time for you? Are you taking minutes? Are you summarizing minutes? Are you doing repetitive work? Are you being asked to create documents from scratch? Look at those low-value tasks that you're doing that AI can take care of, right? So, that would be a first approach. Get hands-on with AI tool. Don't be scared. This isn't going to bite you. Just open that whatever tool of your choice, um, and then just start using it. Start maybe compare and contrast. Maybe use two and see which one do you like better. That's something that I did early, you know, in my career when I was trying, you know, different models. In the end, I ended up using ChatGPT more because I already had uploaded so much information into the tool that it knows me very well. So, it customizes the answers in a way. There is a way where you can transfer that information to another tool. So, that shouldn't stop you, right? But, just try it. Just start to picking a couple of tasks and maybe something like we did today and then see how you feel more comfortable. It would maybe perhaps with a specific tool. If you are already using a tool for project management in your work, then explore to see if that particular tool has an AI function. For example, Jira already has an AI function embedded in it. If you use Canva, Canva already has an AI function. So, that's another way that you can approach this as well. And then, make sure that you upskill. And upskill means that you learn a new skill that you can then uh brag about it, right? You can put on your LinkedIn profile, I've completed this program, I've earned this certificate, um a a certified project management program. It is going to really make you stand out and make your resume, you know, and your credentials be differentiated from perhaps other people that are not yet exploring and learning about AI. So, just make sure that you are also working on your strategic PM skills. So, it's not just using the tool, as you heard me say, emotional intelligence, communication, decision-making, facilitation. These are still going to be very critical, perhaps even more critical, right? Anybody can use an AI tool, but can anybody communicate with emotional intelligence? Can anybody lead the same way that you do? So, make sure that you're also working on the on those uh skills. And then, as I mentioned, just update your LinkedIn profile, perhaps your resume. Talk Talk to your boss and say, "Look, I've completed this program." Ask for a raise. You are now a more valuable asset to your organization, right? Just position yourself as a person that is an AI-fluent project management leader. Those are going to be the project managers that are going to be sitting at the table. >> Louisa, that's a very practical roadmap, something everyone can apply. And I think many of our attendees now have a clear picture of what they need to do next. But, here's a question I often hear from most professionals. Uh they say, "If AI tools are freely available and there are countless tutorials online, why isn't self-learning enough? And why would you recommend formal upskilling for um all of our participants? >> Absolutely. Well, you want to have a structured curriculum. So, you want to make sure that there are you know, certified instruction instructional designers behind the content that you're working, right? It is going to be important that what you're doing is kind of doing what we did today. It's not just theory, but it's also practicing. And so, that's something that Simplilearn does very well because in our programs, we are always learning, but then we're doing. So, perhaps we're doing a guided demo in class, then you have like some homework that you can do on your own, and then you have projects where you are applying the knowledge that you learn. So, that is going to be critical. Also, market credibility, right? Having a credential, it signifies commitment, right? It is different to say I am a PMP than to say I have project management experience, right? Having those three letters after your name is going to give you more credibility than perhaps somebody that doesn't. And then, learning alongside other project managers. And I've seen this in every cohort that I've taught is that there is a lot of networking and mentorship that occurs, right? So, I see people forming groups to study. I see people referring jobs to each other. I see them connecting on LinkedIn. I see that they are sharing experiences. They're helping each other. So, this is invaluable, and this is something that you wouldn't get otherwise. >> Thank you for sharing those points, Louisa. So, that's answered. >> Shweta, let me answer a question that we have on the Q&A box. Which asks for AI tools that are specialized in scheduling and to make LinkedIn profiles. So, you are going to find nowadays specialized tools for everything and new tools pop up every day. It's It's incredible the amount the rate at which new tools are popping up. So, it is very hard to like keep up with all of them. I would say for scheduling, Primavera is one of the most helpful tools and it does have It is a tool that you can also use along with AI. For LinkedIn profiles, you don't really need a specialized tool. You can just use any generative AI tool like ChatGPT, like Gemini, like Claude. You don't really need anything more specialized than that. That is the beauty of these tools is that they are so sophisticated now and they are so comprehensive then you that you can use them for most things. Unless you really need something super super specialized. Even scheduling, you can get some support from a tool like ChatGPT. So, I would encourage you to first explore some of these more comprehensive and more user-friendly tools. And then if you need something more specialized, I would encourage you to look at what tools do you already use. So, what do you use for scheduling? If you use already Microsoft Project, then you can tap into the AI function of Microsoft Project. If you are using Jira, tap into the AI function of Jira, right? So, it will be more like wiser to use those tools that you are already comfortable and familiar with or the tools that your company is already providing the licensing for you as opposed to you going and searching in the market for something very sophisticated because again, usually there is no need for that. >> Thank you, Luisa.
